    Two kinds of volunteer certificate

A certificate of volunteer service records what someone did: the organisation, the role, the dates and the number of hours. Volunteers use it as proof of service for school, a college application, a job application or a community-service requirement, so it should be factual and signed by someone who can confirm it.

A volunteer appreciation certificate is a thank-you, handed out at an end-of-season event or volunteer week. It can be warmer and less formal; see the certificate of appreciation for more thank-you wording. Both are made the same way here.

    Volunteer certificate wording examples

    Each volunteer's own hours

Volunteer coordinators usually already have the names and hours in a sign-in spreadsheet. Make a column with each person's line – “for 36 hours of volunteer service in 2026” – and paste the name and line columns into Recipients, or save the sheet as CSV and import it. Every volunteer gets their own page with their own hours; tick Number each certificate if you keep a record of the certificates you issue.

More wording, whole lists and printing

The wording guide has 12 more volunteer certificate wording examples, each with a link that fills it in here. To make one for every name on a class, team or staff list, see how to make certificates in bulk from Excel or Google Sheets. Before printing on card, read how to print certificates for paper weights and print settings.

    Frequently asked questions

Can a volunteer certificate be used as proof of volunteer hours?

It can record the hours, the role, the dates and the organisation, signed by someone responsible. Whether it is accepted is up to the school, college or employer that asks for it; some have their own form, so check what they need.

Can each volunteer have their own hours on the certificate?

Yes. Put each person's line after their name, after a tab, “|” or comma, or paste two columns from your spreadsheet: names and hours. Up to 100 certificates print at once.

What is the difference between a volunteer certificate and a certificate of appreciation?

A volunteer certificate usually records service (role, dates, hours). A certificate of appreciation thanks someone for their help. Many organisations combine the two: a thank-you title with the hours in the reason line.

Can I add our charity's logo?

Yes. Under Design and paper, choose Add school or team logo (PNG, JPG, WebP or SVG under 2 MB). It is read in your browser and printed on every certificate.
