Editable certificate of appreciation templates for Word
Three free certificate of appreciation templates for Word – formal business, warm volunteer and simple low-ink – each in A4 and US Letter. Everything on them is ordinary text you can change: the organisation, the title, the line before the name, the name, the thank-you line, the date and the signer.
Templates version 1.0, updated 28 October 2026.
Formal business
A traditional layout for workplaces and formal events: the organisation at the top, the name on a gold rule, the date and a signature either side of a gold seal.
Making several? Open the same wording in the online maker with the Heritage gold design, paste a list of names and print one certificate per name.
Warm volunteer
A friendly thank-you with a coral and amber band down the left side and the wording set to the left, for volunteers, helpers and community groups.
Making several? Open the same wording in the online maker with the Playful coral design, paste a list of names and print one certificate per name.
Simple, low ink
A plain portrait page with a thin black border and no coloured areas, so it prints quickly and cheaply on any printer, in colour or black and white.
Making several? Open the same wording in the online maker with the Plain ink design, paste a list of names and print one certificate per name.
Filled-in example
The formal business template filled in for a volunteer at a food bank, with an accented name and a logo in place of the logo box. The people and the food bank are made up. Open it to see how a finished certificate looks before you start your own.
How to edit a template in Word
- Download the right paper size. A4 is used in most countries; US Letter in the United States and Canada. The two files are otherwise the same.
- Open the file. If Word opens it in Protected View, choose Enable Editing.
- Change the words. Select a placeholder such as Recipient Name, Organisation Name or Signer Name and type over it. Each line is ordinary text, so you can change its font, size or colour on the Home tab. Keep names on one or two lines; a very long name wraps onto a second line.
- Put in your logo. Right-click the Your logo box and choose Change Picture, then your logo file. Without a logo, select the box and press Delete.
- Add a signature. Type the signer's name and role over the placeholders. For a handwritten signature, scan or photograph it on white paper, click at the start of the line above the signature line, choose Insert › Pictures and make it smaller until it sits on the line.
- Write the date the way your readers expect: 28 October 2026 or October 28, 2026.
For the thank-you line, see the certificate of appreciation wording examples and the complete examples with every field filled in. Giving the same certificate to many people? The online certificate of appreciation maker takes a whole list of names and prints one certificate per name; Word templates suit one certificate at a time.
Print it, or save it as a PDF
- Print: File › Print, choose the paper size of the file you downloaded and keep the scale at 100% or Actual size, not Fit to page. The orientation is already set in the file.
- PDF: in Word, File › Save As (or Export) › PDF. On a Mac you can also choose Save as PDF in the print dialog.
- Paper: 160–200 gsm card feels like a certificate and goes through most home printers. More in how to print certificates.
What we tested
We opened every file in LibreOffice Writer 26.2 on macOS, replaced the name and the organisation, saved it as .docx, opened it again and exported a PDF. Each template stayed on one page with a two-line name (Alexandra Maximiliana Rivera-Santiago de la Cruz), accented names (Zoë Ångström-Núñez), a Chinese name (张伟明), a long organisation name, and with its font missing and replaced by another.
We have not yet tested them in Microsoft Word for Windows or Mac, Google Docs, Apple Pages or WPS Office. The files use only ordinary text, tables, borders and pictures, but line breaks and spacing can differ slightly from one program to another; check the page before printing a batch. If something moves, please tell us.
Fonts: the formal template uses Georgia, the volunteer template Trebuchet MS and the simple template Arial, which come with Windows and macOS. Elsewhere a similar font is used instead.
Free to use
The templates are free for personal and commercial use: edit them, print as many as you need, and give them out at work, school, clubs and events. No sign-up, and no credit needed. The seal and the coloured band are part of the templates; the logo box is there to be replaced.
